Keep business names and contact details consistent

Business cards arranged in a box

When a website, invoice and business profile display different contact details, customers have to decide which information to believe. A shared master record prevents many avoidable questions.

First establish which details the business actually uses publicly: trading name, any different legal name, address, telephone number, email address, website and service area. A brand and its legal operator do not have to share the same name. The important point is to explain that distinction accurately rather than placing identical text everywhere without considering its purpose.

One record, several destinations

Keep current details in a location accessible to the people responsible for them. Include the last review date and a named owner. Passwords do not belong in this table; refer staff to the secure access management process instead.

Next, list the public destinations: contact page, footer, email signature, business profiles, directories, quotation PDFs and older downloads. Printed business cards may also need a transition plan. Differences in telephone number formatting matter less than whether the number reaches the correct person.

Give each branch its own unambiguous details when a business operates several locations. Do not describe a central switchboard as a direct branch number if the people answering cannot route enquiries appropriately.

Change details in a workable order

During a move, make the new contact route work before distributing the new details widely. Check telephone calls, email and directions. Then update the website and the profiles customers use most. Record which changes are confirmed and which still await approval.

For Google, a profile name should reflect how the business is represented in the real world; its official guidelines explain restrictions on extra information in names. A newly introduced service does not therefore automatically belong in the business name as an additional search phrase.

Check the public output

Open the changed pages without a management account signed in. Check their mobile appearance, clickable telephone number and visible address. Correctly saving a field does not necessarily mean the public page has already updated.

Record an end date for temporary forwarding arrangements or explanatory notices. At the next review, that makes it possible to distinguish information intentionally retained from an update that someone simply forgot to finish.
