A campaign handover works when the next person can understand its current state and complete a typical task independently. A folder full of files is not enough. It must be clear which version is active, which changes are only proposed and where a decision is still outstanding.
Begin with a short status note naming the offer, audience, dates and responsible person. Add the latest confirmed state of the budget, advertisements and landing pages. Label provisional figures explicitly rather than allowing them to look final.
Distinguish active work from drafts
Place approved copy and images in a clearly identified area. Drafts can remain nearby, but their status must be obvious. Names such as “final-new-really-final” do not establish approval or publication status. Use an understandable version and record which file is actually in use.
Keep editable originals alongside exported versions where needed. A publication-ready image is not always a substitute for its design source. Include relevant usage rights and restrictions so the next person does not accidentally reuse material outside the permitted scope.
The handover should also identify the authoritative location. If the same document exists in email, a shared drive and a project tool, say which copy governs further edits. Otherwise, the new owner may confidently continue an obsolete draft.
Explain the operational routes
Record where enquiries arrive, who handles them and which automated messages are triggered. Do not copy ongoing customer conversations into a public handover document. Use the business's protected systems for those records. Explain the process without creating unnecessary copies of personal information.
Identify recurring reports and their definitions. If “enquiry” in one report actually means a click on a contact link, make that explicit. Otherwise, the next person may inherit an incorrect assumption and later compare unlike measures.
Finish with a shared test
Ask the incoming owner to find a published text, open its landing page and test the contact route. Check that required permissions are available without sharing personal passwords. This short walkthrough often reveals missing access or unclear filing more quickly than a lengthy verbal explanation.
Record outstanding items with an owner and a date. These may include pending approvals, expiring promotions or incomplete reviews. Confirm the state being handed over and remove access that is no longer needed through the agreed process. Completion means verified ability to continue the work, not merely delivery of a folder link.
