Reply to reviews with specific information

Reply to reviews with verifiable information and move personal resolution to a suitable contact channel.

Five rating stars above a tablet

A public review reply is read by more than its author. Other people use it to understand how a business handles questions and problems. Keep it understandable, factual and limited to what is actually known.

Read the complete review and separate the reported experience, any verifiable factual claim and the customer's personal assessment. Correcting a fact does not necessarily resolve a negative experience. Equally, an inaccurate statement need not be accepted as true through an indiscriminate apology.

Check internally before replying

Establish whether the available information identifies the case. If it does not, avoid asserting that the person was never a customer. A public profile name may differ from an order record. Invite contact through a monitored route where necessary without asking for additional personal information in public.

If the case is known, ask the people involved what can be established. Avoid speculation about motives or behaviour. A review reply is not an appropriate place to publish an entire internal dispute history.

Decide who may respond and when the responsible colleague needs to be consulted. A brief internal check can be better than an immediate but inaccurate explanation. A rigid template is of little use when it ignores the actual concern.

Address the relevant point

A positive review may need only a short, specific acknowledgement. Refer to the aspect mentioned where doing so does not reveal further private details. Every reply does not need a promotional statement or another purchase invitation.

For a complaint, identify the issue and the possible next step. Asking the person to contact the business so an appointment discrepancy can be investigated is more concrete than saying feedback is taken seriously. Do not promise a resolution whose conditions remain unknown.

Where a factual error matters publicly, correct it calmly. Describe the actual process without attacking the writer. Distinguish the general rule from a possible exception in the individual case.

Keep personal evidence private

Do not publish order numbers, addresses, payment details or confidential conversations merely to strengthen your account. Even if a customer has mentioned some information, the reply should not automatically add more. The public explanation can remain brief while individual resolution takes place separately.

If a review appears to breach platform rules, use the designated reporting route and check the current rule. Reporting does not guarantee removal. An unwelcome opinion is not automatically a policy violation.

Before publishing, read the reply from an uninvolved observer's perspective. Is it clear what will be investigated and how the affected person can proceed? Does it contain an unsupported claim or unnecessarily sharp sentence? Remove those parts.

Record any operational change resulting from the feedback internally. The public reply need not announce every improvement. What matters is that a recurring problem is not answered with endlessly varied wording while its cause remains untouched. Review response templates periodically so they support a specific answer rather than becoming a substitute for understanding the case.
