Choose the fields an enquiry form actually needs

Choose enquiry fields by the decisions they support, then test entry, errors and receipt.

A web form displayed on a laptop

Every required field asks an enquirer to make another decision. An enquiry form should therefore avoid collecting an entire customer record before the business even understands the request. Its first job is to establish what somebody needs, route the message and enable a suitable next step.

Start with a blank sheet rather than a form-builder template. Write down the decision that will actually be made after submission. A landscaping company may need to establish whether a property lies within its working area and whether the request concerns maintenance or a redesign. A full billing address may be unnecessary for that initial assessment.

Give each field a job

Beside every proposed field, record who will use the answer and why. A name supports a personal reply, an email address provides a response route and a project location can establish coverage. “How did you hear about us?” usually supports internal reporting rather than processing the enquiry. Keep those purposes separate.

Require a telephone number only if a call is genuinely necessary for this process. Otherwise, it can remain optional. A preferred-contact-method field is useful only when the business follows that choice. Offering a preference that has no effect creates an expectation the workflow will not meet.

People should recognize their situation in selection fields. An “I am not sure yet” option can be more accurate than forcing someone into the wrong category. A free-text box allows clarification but does not replace clear questions. Do not rely on placeholder instructions that disappear as soon as typing starts.

Ask at the right stage

An initial conversation and a firm quotation require different information. Project type, location and an approximate timeframe may be enough to start. Exact measurements, technical documents and detailed budget questions can follow when their purpose is clear. This avoids making visitors search for documents before anyone knows whether they are relevant.

If an upload is necessary, explain permitted file formats, size limits and why the file is needed. Do not routinely request confidential documents as unspecified attachments. Check what happens when a file is too large or the connection fails. The remaining answers should not silently disappear as a consequence.

A useful exercise is to process three fictional enquiries manually. One should be straightforward, one incomplete and one outside the business's scope. If a field does not change any decision in those cases, question whether it belongs in the first form. Conversely, if staff repeatedly need one missing fact to route a message, consider asking for it directly.

Make entry and correction understandable

Every field needs a visible, associated label. The W3C forms tutorial explains the role of labels and structural relationships for different assistive inputs. For an editorial review, this means the field's wording should remain meaningful beyond its visual position on the page.

Identify required answers clearly and explain the marker before entry. When an answer is rejected, do not display only “Invalid”. A message identifying the email-address problem helps someone correct it without losing other answers. Avoid unnecessarily restrictive validation that rejects real names or international telephone numbers.

Try the form with a keyboard and on a smartphone. Review field order, relevant on-screen keyboards and the visibility of errors. The submit button should remain reachable while the keyboard is open. Test a deliberately incomplete submission as well as the perfect example.

Follow the message to its recipient

Send several clearly marked test enquiries and trace them to the actual recipient. Include different selection values and a failed-send scenario. A confirmation should report success only when the receiving system has accepted the request. A browser animation alone does not demonstrate receipt.

Decide who handles new messages and what happens during an absence. Even a short form can fail operationally if its messages arrive in an unattended inbox. The final question about a field is therefore not whether it looks tidy, but whether the answer helps the next real piece of work.

Take the next question further.
