Respond calmly to a critical comment

Writing notes during a business call

A critical comment first needs assessment, not the fastest possible defence. Read the specific claim and distinguish factual questions from personal attacks or matters that require investigation.

Acknowledge the visible issue

An initial reply can show that the actual account has been read. Do not repeat sensitive details or confirm someone's customer status when that should not be discussed publicly. Generic phrases feel especially inappropriate when a person describes a particular error.

Do not promise a refund, replacement or fixed deadline before the responsible person has reviewed the case. Explain the next clarification step instead. Where a potential safety issue exists, internal handling should take priority over a lengthy public debate.

Move necessary details out of public view

If order information is needed, identify an appropriate private contact route and explain which details will help there. Do not ask for invoices, addresses or personal telephone numbers in the comments.

Moving to a private channel should not be an attempt to make legitimate criticism disappear. A short public reply can still demonstrate that the issue has been received. What may later be added publicly depends on the content and agreed boundaries.

Different comments need different responses

Disagreement is not automatically a rule violation. Threats, exposed personal information or clearly prohibited material may require reporting or another moderation action under the platform's applicable rules. Assess the situation rather than deleting criticism indiscriminately.

Decide internally who handles repeated attacks or allegations with legal significance. Staff should not have to make those decisions alone under time pressure.

After the issue is clarified

If the business made an error, a factual correction may be appropriate. Describe only measures that have actually happened or have been firmly agreed. Do not publish private conversations as evidence for your own position.

Then consider whether the comment reveals a broader information gap. An unclear delivery description or conflicting appointment information can be improved independently of the individual case. That turns the investigation into a concrete change without converting every complaint into a public success story. Keep the outcome proportionate: sometimes a corrected detail and a completed private conversation are all that is needed.

Take the next question further.
